Here’s how to create a filing system that actually works

If you have a hard time keeping track of important documents, you might need to rethink your filing system. In this episode of ITK: Uncluttered, organizing experts Fillip and Jamie Hord (@horderly) demonstrate how you can declutter your files with a simple, easy-to-follow system.

The first step that Jamie suggests is to filter which documents even make it to your filing system. She explains, “When it comes to incoming mail, go straight to the trash can and toss any junk mail, and then, any items that you need to take action on, put those in a ‘to-do’ pile somewhere that you’re not going to forget about them.”

The next step is organizing archive files, which Fillip describes as “those files that are of utmost importance that you need to refer to.” The duo recommends creating an organized filing system that will help you keep track of everything important.

The first thing you need to create a filing system is a hanging file to hold a large category. Within that file, you should put a file folder or multiple file folders for subcategories. Jamie shows some examples of broad categories with subcategories, such as “House” as a large category and “Renovation” and “Assessment” as subcategories, or “Vehicles” as a large category with individual cars you have owned as subcategories.

Next, you’ll need a file box, like the Bankers Box file storage box system, to hold all your files. You can keep multiple boxes displayed on shelves for as many files as you need to organize.

And the final tool you should have is a label maker that can connect to your phone so you can create clear, legible labels to place onto each file and file folder to help you keep track of where everything is.
